Registrar of Elections
Summary
The NSRM Friends Registrar of Elections is responsible for the election process of the Board members, keeping track of Board membership terms, and reporting
to the Board the results of the annual elections and the terms of the current Board members.
Detailed Description
The position of Registrar of Elections has two major duties -- the election process itself and record keeping of the results and current term limits of
Board members.
Friends Board Election Process
- Establish election schedule (dates and tasks) for election year. Process should start in early June of each year.
- Prepare to distribute the invitation to run for office on the Friends' board and submit resumes
via insert in the Sagebrush Headlight, Friends website and/or mail. Method of distribution may be determined by budget constraints.
- From resumes received, prepare resume summary letter and ballot form and send to printer.
- Request from Membership Chairman Friends mailing labels and Friends envelopes.
- As established in the schedule mail out resume letters and ballots indicating deadline for returning ballots.
- Tally all ballots received and report results at the Annual Friends meeting in October of each year.
Friends Board Election Record Keeping
- Keeping track of which Board members are serving in what term, since the by-laws state that after three (3) 3-year terms of service a Board member must go off the Board for at least one (1) year.
- Reporting to Board members, before election process begins for the year, who
is coming to end of his current term and either needs to run for re-election, decline to run again, or take a manadatory break.
- After the election, report to all Board members the results of the election and each member's term status pursuant to those results.
- Maintain current email addresses for board members to facilitate communications.
